PadelFlow

Payments & reception

Collect everything you're owed,
without chasing anyone.

Classes, courts, passes, terms and tournaments. The reception sees who owes what, charges with one tap and the till balances itself at the end of the day.

  • One name and everything they owe
  • Day's till by cash, card and transfer
  • Undo a payment without calling anyone

This is how it goes in the app

From “did I owe you something?” to a till that balances.

  1. What's still unpaid, in plain view.

Total outstanding, by player and by activity: classes, passes, terms, events. Anything unpaid for too long can be blocked until it's settled.

BeforeA list in a notebook and the feeling that something's missing.

    Unpaid
Unpaid: total outstanding, number pending and blocked
  2. One name, one tap, paid.

The reception looks up the player and sees everything they owe. Charges by cash, card or transfer, and the player sees it on their phone instantly.

Before“Did I owe you something from last week?”

    Charge
Classes to be paid grouped by player, with the amount left, what's already paid and the Charge button
  3. By activity: charge whoever's missing.

A tournament, a term, a group class. How many have paid, how much is left and who. No cross-checking lists.

BeforeTwo lists, one of entries and one of payments, that never match.

    By activity
Payments by activity: collected, outstanding and a tournament with its entries
  4. The day's till balances itself.

Cash, card and transfer, payment by payment, with who took it and when. And if someone slips, “Undo” reverses the payment and leaves a trace.

BeforeCounting the drawer at 23:00 with the phone calculator.

    Payment history
Payment history with payment method, who took it and the Undo button
  5. Passes deducted after the class.

The reception sells the pass, the player sees it on their phone and each session is deducted once it has been given, not before. Cancel in time and the session comes back.

BeforeTally marks on a card behind the counter.

    Passes
A player's pass at the reception: sessions left, payment and expiry
  6. A pass for two, shared from the phone.

A player buys a two-person pass and invites their partner. Both see it, both use it, and the reception knows who to charge.

Before“We're splitting that pass, write it down.”

What stops happening

The till balances. The list of debts shrinks on its own.

In the demo we go through it with your club's prices, passes and way of charging.

Questions

What we get asked about payments.

Do you charge at the reception or online?

At the reception: cash, card or transfer, and the player sees it on their phone. That's how the clubs using PadelFlow work today. If your club wants online card payments, we go through it in the demo.

Can I charge a term in instalments?

Yes. You charge what the family pays today and the app keeps what's left, with its date.

What if I make a mistake when charging?

“Undo” reverses the payment and leaves a trace: who, when and how much. No need to call anyone.

Who sees the revenue?

The manager sees the till, the history and what's outstanding. The reception charges and sees only what it needs in order to charge. Each role sees its own.
